How much should my hotel hold on a card for incidentals?

Most hotels pick a round incidental hold, like $100 a night, and never revisit it. Visa's current rules point hotels another way: hold a genuine estimate of the stay at check-in, then add to it when real charges post. Here is how to size the hold, what the card rules say, and why debit-card guests feel it most.
What do the card rules say a hotel can hold?
Visa says an estimated authorization "must be a genuine estimate and must not be an arbitrary amount." Its merchant guidance on estimated and incremental authorizations adds that the estimate "must not contain incidental spend amounts such as tips or a buffer for damage."
For a hotel, a genuine estimate usually means:
- Room rate times the nights booked
- Taxes and mandatory fees on those nights
- Charges the guest has already agreed to, such as nightly parking or a pet fee
Read literally, Visa's wording leaves little room for a flat damage pad on Visa cards. Rules and setups vary, so ask your processor how your property should apply it.
Mastercard has its own lodging authorization rules. Its Transaction Processing Rules (June 9, 2026) cover lodging authorizations, multiple authorizations and reversals in separate sections. Your processor applies both brands' rules behind the scenes.
What if a guest spends more than the hold?
You add an incremental authorization when charges outgrow the hold. Visa says a merchant may request one "any time the total authorized amount appears to be insufficient." Visa sets no limit on the number or size of increments, as long as they fall inside the validity window.
Visa also requires one step at check-in. You must tell the guest the amount is an estimate, not the final bill, and that more authorizations may follow. You can say it out loud or put it in writing.
That one sentence at the desk prevents a lot of angry calls. Guests who get a bank alert for a second authorization already know why.
How long is a hotel's card authorization good for?
A Visa lodging authorization is valid for 30 days from the day the estimate is approved. Visa set that window in its authorization framework update, effective April 13, 2024.
Incremental authorizations don't extend the 30 days. For an extended stay, Visa says to reverse the old authorization and request a new one. The new authorization gets its own 30 days.
| Situation | What Visa expects |
|---|---|
| Check-in | A genuine estimate of room, tax and agreed charges, with the guest told it is an estimate |
| Charges outgrow the hold | Incremental authorization for the extra amount |
| Final bill is lower than the total authorized | Reverse the difference within 24 hours of completing the sale |
| Stay won't be completed (for example, canceled) | Reverse the full amount within 24 hours of knowing |
| Stay runs past 30 days | Reverse and request a new authorization |
Why do debit card guests complain about holds?
A hold on a debit card freezes the guest's cash, not a credit line. The Nebraska Department of Banking and Finance says hotel holds can remain until checkout plus three to seven days after the final charge. Montana's Division of Banking and Financial Institutions says holds can run several days to several weeks. A guest whose balance can't cover the hold can be charged overdraft fees.
Hotels feel this at the front desk. Arlo Hotels' published policy says banks usually lift a released hold in two to four business days, but "it can rarely take as long as 30 days." It also says the hotel "cannot speed up this process in any way" once the hold is released.
Holds can also go badly wrong. In June 2026, View from the Wing reported a one-night budget hotel stay that left a guest's debit account showing a $1,002,852.82 hold. The hotel blamed a compromised terminal.
The fix on your side is speed. Visa requires the unused part of an authorization to be reversed within 24 hours of completing the transaction, which for most stays is checkout. A prompt reversal tells the guest's bank to free the money, even if the bank takes days to post it.
What does a right-sized hold look like?
Example (hypothetical): A guest books three nights at $189. Taxes in this example come to 15%, and the guest adds nightly parking at $25.
| Step | Amount |
|---|---|
| Room, 3 nights at $189 | $567.00 |
| Tax at 15% (example rate) | $85.05 |
| Parking, 3 nights at $25 | $75.00 |
| Estimated authorization at check-in | $727.05 |
| Room service and bar charges posted on night two | $88.00 incremental |
| Total authorized | $815.05 |
If the guest stays all three nights, the final bill matches the $815.05 authorized, and nothing needs to be reversed.
Now say the guest leaves after two nights. The bill drops to $572.70, so the hotel reverses $242.35 within 24 hours.
Compare that with a flat $100-a-night pad on top of the room estimate. A debit guest would see $1,027.05 frozen at check-in, before buying anything.
Do incidental holds cause chargebacks?
They can, when the hold and the final charge don't line up. Visa charges a Misuse of Authorization System fee on approved authorizations that are never matched to a clearing transaction or a reversal. Visa also notes that coding errors can expose merchants to disputes under condition 11.3, No Authorization/Late Presentment.
Three habits keep holds out of disputes:
- Run the estimate and every increment on the same transaction, not as separate sales.
- Complete the sale inside the 30-day window, and reverse leftovers within 24 hours.
- Keep the signed registration card and folio, since they show the guest was told about the estimate.

Can my property system handle estimates and increments for me?
Often, yes, when payments are integrated with the property system. Front desk staff can then authorize, increment and release holds from the folio instead of keying amounts into a separate terminal. Ask any processor whether your setup sends true incremental authorizations and reversals, or new sales and voids.

FAQ
Can my hotel put a flat damage deposit on a guest's card?
Visa's current merchant guidance says an estimated authorization must be a genuine estimate and must not contain incidental spend such as tips or a buffer for damage. Read literally, that leaves little room for a flat damage pad on Visa cards. Mastercard has its own lodging rules, so ask your processor how your property should apply both.
How long does a hotel hold stay on a guest's debit card?
The Nebraska Department of Banking and Finance says hotel holds can remain until checkout plus about three to seven days after the final charge. The guest's bank controls the exact timing. Reversing the unused amount within 24 hours, as Visa requires, is the part the hotel controls.
Do I have to tell guests the hold is an estimate?
Yes, for Visa. At check-in you must tell the guest the amount is an estimate, not the final bill, and that more authorizations may follow. You can do that out loud or in writing.
How long is a Visa authorization good for at a hotel?
Thirty days from the day the estimated authorization is approved, under Visa's framework effective April 13, 2024. Incremental authorizations don't extend that window. For longer stays, reverse the old authorization and request a new one.
What should my hotel do when a guest spends more than the hold?
Request an incremental authorization for the extra amount on the same transaction. Visa sets no limit on the number or size of increments inside the 30-day window. Guests who were told about the estimate at check-in are less likely to be surprised by the second authorization.
